Privacy Policy

Equity Scholar Education ("ESE", "we", "us") is a not-for-profit corporation incorporated under the Canada Not-for-profit Corporations Act (No. 17113293), headquartered in Toronto, Ontario. We operate a volunteer-based, peer-to-peer tutoring program for students in grades 4 to 8, following the Ontario curriculum. This policy explains what personal information we collect, how we use it, and the choices you have.

Information we collect

Depending on whether you are a student, parent or guardian, or volunteer tutor, we may collect:

  • Names and email addresses

  • Phone numbers (collected through our booking form)

  • Academic details such as grade level and subjects

  • Tutor availability, subjects offered, and volunteer hours logged

  • Session details: dates, durations, and brief session notes

  • Optional contact handles you choose to provide (for example Discord or Instagram)

We do not record audio or video of tutoring sessions.

How we use this information

We use the information to match students with suitable tutors, schedule and run tutoring sessions, track volunteer hours, and communicate with participants and their families about the program.

How information is shared and where it is stored

Limited student information (such as first name, grade or age range, and subject needs) is made available to matched volunteer tutors through a private web portal so they can prepare for and run sessions. Access to the portal is restricted to approved tutors and administrators.

Our portal and records are hosted using third-party service providers, including Google (Google Workspace and Google Sheets) and our application hosting provider. Some of these providers store and process data on servers located in the United States. This means your information may be transferred to, and processed in, a country outside Canada and may be subject to the laws of that country. We take reasonable steps to ensure it remains protected.

Children's privacy and consent

Our program serves minors, and many of our volunteer tutors are also minors. For any participant under the age of 18, we require confirmation that a parent or guardian is aware of, and consents to, the participant's involvement and to the handling of their information as described in this policy. This consent is collected during registration.

Safeguards

We protect personal information using access controls that limit who can view records, and we rely on reputable service providers that use industry-standard security for their platforms. If a breach occurs that creates a real risk of significant harm, we will notify affected individuals and the appropriate authorities as required by law.

Data retention

We keep participant and tutor records for as long as the account is active and the person remains involved in the program. On request, we will delete or de-identify a person's record (subject to any records we must keep for legal or volunteer-hour verification purposes).

Your rights

Under the Personal Information Protection and Electronic Documents Act (PIPEDA) and other applicable Canadian privacy laws, you may ask to access your information, request corrections, withdraw consent, or file a complaint with the Office of the Privacy Commissioner of Canada.
