Equity Scholar Education (“ESE,” “we,” “us,” “our”) is a nonprofit, volunteer-based peer-to-peer tutoring platform headquartered in Toronto, Ontario, Canada. We provide a website, scheduling tools, and live-session links hosted on Wix and Google Meet.

2. Scope

This Privacy Policy explains how we collect, use, disclose, and protect your personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and other applicable Canadian privacy laws.

3. Information We Collect

Identification

  • First and last names of tutors and students

Contact details

  • Email addresses

  • Phone numbers

  • Fast-communication handles such as Instagram usernames or texting numbers

Academic information

  • Grade level or age

  • Skill level in a course

  • Achievement details (for matching purposes)

Usage data

  • Session dates and durations

  • Volunteer-hour totals

  • Google Meet join data

  • Wix analytics data and cookies

Recordings

  • Video and audio recordings of tutoring sessions (if recording is enabled)

4. Why We Collect Your Data

  • To match students with suitable volunteer tutors

  • To facilitate live tutoring sessions and rapid communication

  • To track and verify volunteer hours for community-service records

  • To improve platform performance through analytics

  • To maintain a safe learning environment, including optional session recordings

  • To comply with legal obligations under Canadian privacy law

5. Legal Basis for Processing

We process personal information on the basis of consent and legitimate interests as defined by PIPEDA. You provide consent by creating an account or continuing to use our services after being informed of this policy.

6. How We Share Information

Wix.com Ltd.

  • Provides website hosting and analytics.

  • Data are stored on secure Wix cloud servers with encryption in transit and at rest.

Google Meet

  • Generates video-conference links for tutoring sessions.

  • We do not send profile data to Google Meet outside the context of each meeting.

Regulators or law enforcement

  • Personal information is shared only when required by law.

We do not sell or rent personal information to third parties.

7. Cookies and Analytics

Wix uses first-party and third-party cookies to measure traffic and performance. You can control cookies through your browser settings. A detailed Cookie Notice is available in our site footer.

8. Storage and Security

  • Primary storage – Wix ISO-certified data centres

  • Secondary backup – Google Drive folders with access restricted to authorized staff and key volunteers

  • Technical safeguards – Transport Layer Security (TLS), strong password requirements, role-based access controls, and regular vulnerability scans

9. Retention Period

  • User profiles remain on file while an account is active.

  • Session recordings and volunteer-hour logs are kept for two years from their creation date unless a longer period is required for legal or accreditation purposes. After that, data are deleted or anonymized.

10. Children and Minors

The platform is open to minors. A parent or guardian is encouraged to review this policy with the student. We monitor forthcoming guidance from the Office of the Privacy Commissioner of Canada on children’s privacy and will update our practices as required.

11. Session Recordings

Tutors may record sessions to help students review material and to verify volunteer hours. All participants receive an on-screen notification when recording starts. Recordings are stored in Google Drive for up to two years, then deleted.

12. Your Privacy Rights

Under PIPEDA you have the right to:

  1. Access the personal information we hold about you.

  2. Request corrections if your information is inaccurate.

  3. Withdraw consent for future use of your data, subject to legal or contractual restrictions.

  4. Lodge a complaint with the Office of the Privacy Commissioner of Canada if you believe your information has been mishandled.

13. How to Exercise Your Rights

Send an email to equityscholareducation@gmail.com with the subject line “Privacy Request.” We will respond within 30 days.

14. International Transfers

Our primary servers are located in the United States through Wix. By using our services you consent to the transfer and processing of your information in jurisdictions that may have privacy laws different from those in Canada. We ensure comparable protections through contractual agreements with our service providers.

15. Changes to This Policy

We may update this Privacy Policy to reflect changes in our practices or legal requirements. When we do, we will post the revised version on our website and update the “Effective date.” Significant changes will be communicated by email or in-platform notice at least 14 days before taking effect.
